What to put on every invoice

An invoice is a legal payment request, not a courtesy email. The clearer it is, the faster accounts-payable teams can process it — and the fewer excuses a late client has. Every invoice should carry:

  • A unique invoice number. Sequential numbering (INV-001, INV-002…) keeps your books clean and makes chasing unpaid invoices unambiguous.
  • Issue date and due date. The due date is what makes an invoice late — without it, you have no basis to charge a late fee.
  • Your legal name or business name plus contact details, and your tax/VAT number if you are registered.
  • The client's legal entity name and a PO/reference number if their company uses one — big organizations may refuse to pay without it.
  • Itemized lines. Describe the work in plain language, with quantities and rates. "Professional services" invites questions; "Website redesign — 3 homepage concepts, 14 hours @ $75" gets paid.
  • Payment instructions and your terms (e.g., Net 14).

Sending it the right way

Send the PDF — not a spreadsheet, not a screenshot of the preview — with a short, specific email: "Invoice INV-004 for the March website work, $2,450, due April 14. Payment details are on the invoice." Then set a calendar reminder for the day after the due date. The single biggest cause of late payment is freelancers who forget to follow up.

Get paid faster: clients pay invoices they can approve without thinking. Match PO numbers, use the client's project name, and bill smaller milestones instead of one large final invoice.

Is this invoice generator really free?

How do I save my invoice as a PDF?

Click Print / Save as PDF. In the print dialog, choose "Save as PDF" as the destination instead of a physical printer. The print layout automatically strips everything except the invoice itself.

What must a valid invoice include?

At minimum: a unique invoice number, the issue date and payment due date, your legal name or business name and contact details, the client's name and address, an itemized list of goods or services with quantities and prices, the total amount due, and your payment terms. Many jurisdictions also require a tax or VAT registration number.

What payment terms should I put on an invoice?

Net 14 or Net 30 (payment due 14 or 30 days after the invoice date) are the most common. For new clients, shorter terms or a deposit are safer. Always state the terms explicitly on the invoice itself, and consider adding a late fee clause to your contract before work begins.
